Vendor Ordering – New Serials and Standing Orders

VENDOR ORDERING – NEW SERIALS AND STANDING ORDERS

Titles to order are provided by individual librarians or Head, Library Collections Management and Services via email to library.serials@uregina.ca. Pricing and format availability are searched and then given to the Head, Library Collections Management and Services to be reviewed before ordering. A list of all new titles to be ordered should be saved on the t drive.

A list of new titles is saved to the T drive:

  • T:\library\Collections Services (formerly Technical Services)\Collections Services (formerly TechServ)\Serials and Standing Orders\XXXX-XXXX Serial and Standing Order List
    • Save as: XXXX-XXXX New and Cancelled Serial and Standing Order List.xlsx

Format Preference

  • Online – first choice
  • Print and Online – second choice
  • Print – third choice
    • For Art Journals send options to subject Librarian and Head, Library Collections Management and Services as Print is usually the first option but in some cases online will be accepted
    • When sending format and price options provide all options, especially if the online price is drastically higher than Print

Bibliographic Record/Purchase Order

Before the ordering process for a title can begin online, a Bibliographic Record and Purchase Order must be made for each new title. See Creating a Purchase Order and Bibliographic Records.

Once the bibliographic record and purchase order have been created, ordering of the item can be done using the vendor online ordering platforms.

Update the Annual Serial list and Standing Order list once the purchase order is created. This can be found on the T Drive:

Serials

  • Titles published in North America are purchased online through EBSCO www.ebsconet.com
  • German Titles are usually ordered from, Harrossowitz http://www.harrassowitz.de, other European Publishers can be found here if not available on EBSCO
  • Purchasing can be done directly through the publisher
  • See Vendor Ordering, EBSCO/HARRASSOWITZ
  • Ensure to use Periodical Fund Codes, see Fund Codes

Electronic Orders

  • Please note when ordering Electronic subscriptions that the journal is available for Institutions or Single Site and not for Individual Subscribers
    • Single Site allows for the entire campus to access the journal
  • Check the vendor website online subscription information very carefully ensuring that the order is acceptable for our institution
  • Ensure IP is supported
  • Username/Password options are not purchased
  • Some prices may be tiered by FTE (Full Time Enrollment)

Standing Orders

  • Standing orders are placed for titles in monographic series (numbered and unnumbered), irregular publications, and ongoing sets
  • The material is sent with an invoice until the order is cancelled
  • Standing orders are placed through:
    • YBP (GOBI)
    • COUTTS (OASIS) – Canadian Series
    • EBSCO (EBSCONET)
    • HARRASSOWITZ (OTTOSERIALS) – Music
  • Other Vendors or Publishers

  • Ensure to use Standing Order Fund Codes, see Fund Codes
  • If you have any problems regarding ordering online or trying to locate a title, do not hesitate to contact our representative for the required vendor

 

  • Contact other vendors directly via email using library.serials@uregina email address to start standing orders.
