Loan Notices and Overdue Status Reports

LOAN NOTICES AND OVERDUE STATUS REPORTS

Overdue notices, renewals and other notices are automatically run every evening on the Relais Server.

Run Overdue Reports – Borrowing

  • Overdue reports are run every Wednesday by the lending clerk [PAT]
  • Reports must be run in Administrative log in
  • Click Login Admin

  • Click Run Repot
  • Click Login

  • Open Miscellaneous Folder

  • Open Overdues.MingLiu.rpt

  • Start of Range: Select no lower value
  • End of Range: Choose today’s date from Calendar
  • Select one or more Request Types: Choose PAT click on arrow to move it to Selected Values
  • Click OK

  • Click Print
  • Close document
  • Place paperwork on ILL table for borrowing clerk

Overdue Report – Check

  • The borrowing clerk will check all overdue listing on the report to ensure that they are correct – for instance, items that were returned but not updated correctly in Relais will continue to generate overdue notices which must be corrected
  • Alma will need to be checked to see if the item has been removed from the patron account as well
  • There can be connectivity issues between Relais and Alma as well the item may have been scanned in at User Services but Relais was not updated accordingly
  • In some circumstances the lending library may need to be contacted to see if an item was returned
  • Worldshare will also need to be checked to see if it was marked as returned correctly or if the item is still out
  • Borrowing Clerk will email the patron if the item continues to appear on the overdue report
  • After the third and last overdue notice is received and the item has not been returned the paperwork will be pulled and given to the Manager, Library Technical Services for billing
  • Patron will be charged against their library patron account based on the lending library’s fee structure for lost materials plus any overdue charges, see Fines and Fees-Borrowing

Overdue Report – Check

  • Check overdue listings (including Worldshare) and update the lending forms with the notice information
  • For final notices, or if anyone says that something has been returned, check the stacks
  • If the item is not found the borrowing library will be charged a lost fee
  • Update Relais and Alma, see Lending Lost Items
