Digitization Request Workflow

DIGITIZATION REQUEST WORKFLOW

Digitization requests come from several different systems:

  • Alma Patron Digitization Request
    • Patron initiates the request in Quick Find
    • Physical item is pulled from stacks by User Services Staff and brought to Collections Services
    • Request is scanned into Alma Desk – Archer Library – Archer Digitization
    • Staff review the request and place on Digitization Desk for scanning
    • Staff scan the request and save via the book title and page numbers
      • Note the Destination is Archer Digitization, as well as a patron name is listed this helps identify the type of request

    • Staff save the file to:
      • T:\library\Digitization\Scanned PDFS
    • Staff fill the request in the task queue in the Alma Desk – Archer Library – Archer Digitization
      • Staff move the files to the completed folder
    • Items are placed in the mail cart and returned to User Services

 

  • Alma/Leganto Reading List Digitization Request
    • Staff/Instructor initiates the request in Leganto or Alma Reading List
    • Physical item is pulled from stacks by User Services Staff and brought to Collections Services
    • Request is scanned into Alma Desk – Digitization Department for Institution
    • Staff review the request and place on Digitization Desk for scanning
    • Staff scan the request and save via the book title and page numbers
      • Note the Destination Digitization Department for Institution this helps identify the type of request

    • Staff save the file to:
      • T:\library\Digitization\Scanned PDFS
    • Staff fill the request in the task queue in the Digitization Department for Institution
      • Staff move the files to the completed folder
    • Items are placed in the mail cart and returned to User Services

 

  • Rapid/Alma Resource Sharing (Interlibrary Loan Lending) Digitization Request
    • Borrowing Library initiates the request through their Rapid/Alma Resource Sharing system
    • Staff print the pick slip from Rapido and place on ILL cart
    • Collections Services staff retrieve the materials from the shelf and place on the shelf for ILL Clerk
    • Staff review the request and place the item on the Digitization desk for scanning
    • Staff scan the request and save via the Rapido Request Number
    • Staff save the file to:
      • T:\library\ill\Add Doc\Lending
    • Staff fill the request via Rapido/Alma Resource Sharing
    • Items are placed on the ILL truck to be returned to User Services

 

  • Relais/Worldshare (Interlibrary Loan Lending) Digitization Request
    • Borrowing Library initiated through their Relais/Worldshare system
    • Staff print the pick slip from Relais and place on ILL cart
    • Collections Services staff retrieve the materials from the shelf and place on the shelf for ILL Clerk
    • Staff review the request and place the item on the Digitization desk for scanning
    • Staff scan the request and save via the Relais Request Number

 

  • Special Projects
    • As outlined by Dr. John Archer Library and Archives project leads
