Cancelling a Borrowing Request

CANCELLING A BORROWING REQUEST

Patron requests are cancelled for many reasons, such as, item is in the library collection, poor citation, cost and unable to locate.  All requests are well searched before they are cancelled as well a search to purchase the item is performed.  When a request is cancelled the request may need to be cancelled in several systems:

Patrons cannot borrow the following and all requests will be cancelled:

  • Materials already owned by the Library unless they are declared lost or missing
    • If the item is on loan cancel the request and notify the patron to place a request in Quick Find to to loan the item
  • Materials available within the Library in an alternate format
    • If the item is available in a different format send the link to the patron so they can access the item

Main reasons for cancellations:

  • Poor citation
    • Not enough information has been given or incorrect information has been given
  • Unable to Locate – Search to Purchase the Item
    • There are no interlibrary loan locations available to lend the item
    • Search vendors to see if the item can be purchased, if a vendor is found:
      • Email Head, Library Collections Management and Services from interlib@uregina.ca with the following information:
        • Title
        • Cost
        • Link to resource
    • If the item is approved for purchase forward the email to libraryorders@uregina.ca include patron’s name so they can be added as an interested user and hold the item when it arrives
    • Cancel the request in the ILL system using unable to locate and place a note stating it will be purchased and they will receive an email when it is ready for pick up
  • If a vendor cannot be found cancel following standard procedures outlined
  • Open Access:
    • If an item is available for free full text online cancel the request
    • Provide the Open Access to the  link when cancelling the request
  • Items available in Library Collection
    • This should only happen if the blank request form is used in Quick Find
    • Ensure to do a shelf check for the item, if the item is held at a Federated College email the library to do a Shelf Check
    • If the item is available cancel the request and notify the patron to retrieve it from the Library it is held at or place a request to hold the item
      • A Request is required for items held at First Nations Saskatoon or Northern so that the item can me mailed to the library that the patron wants to pick it up from

  • Exceeds cost:
    • If the request moves to Worldshare costs may be associated to the request based on lender policies
    • If the cost is over:
      • Physical requests: $35.00
      • Digital requests: $25.00
    • Email Manager, Library Collections Services to determine if the request will be approved over the cost or rejected.

Patron Cancelled Requests

  • Patrons can cancel requests via their Library Account or they may email asking to cancel a request
  • Cancel the request in the required systems if required, see individual procedures
